Coordinating cross-border campaigns at scale: where does the process usually fall apart for agencies?

We’ve scaled our agency to the point where we’re now running 5-6 simultaneous campaigns connecting Russian brands with US-based creators. It’s been exhilarating, but I’ll be honest—there’s a lot of friction in the workflows.

Here’s what I mean: Brand briefs come in Russian, we translate them (and always lose nuance), creators ask clarifying questions that sometimes don’t get answered quickly enough, timelines shift because one side is in a different timezone, and approvals get bottlenecked because no one’s quite sure who needs to sign off on what.

We’re using a combination of Google Docs, Slack, and WhatsApp threads. It works, but it’s chaos. Everything feels like it’s just barely staying on track.

I keep wondering if there’s a smarter way to orchestrate this. The hub apparently has cross-market collaboration channels—like actual infrastructure for managing workflows between brands and creators. I’m not even sure what that means, but it sounds like exactly what we need.

Does anyone else run multiple cross-border campaigns at once? How are you actually organizing the day-to-day coordination? Are you using any platform or tool that’s made a real difference? And if not, what would actually solve your biggest pain point—the piece that makes you think “we need to fix this or we can’t scale further”?

I’m especially curious about how you handle approvals and timeline management across timezones. That’s where most of our projects are losing momentum.
