I’ve realized that a lot of time gets lost in the middle part of a creator partnership—between “we found someone interesting” and “we have a signed agreement.” Right now, my process is kind of scattered, and I want to get more organized.
Here’s what I’m doing now: I find a creator I like (usually through manual research, sometimes through recommendations), I check their fit, and then… it gets messy. Sometimes I DM them directly, sometimes I go through their branded partnerships contact, sometimes they have a manager listed in their bio. Once I get in touch, we have a back-and-forth about rates, deliverables, timeline. Then someone (usually me) drafts a contract, we go back and forth on terms, and eventually it gets signed.
The whole thing takes anywhere from two weeks to two months depending on how responsive everyone is and how complicated the partnership is. For a small $2k deal, that’s way too much friction. For a $50k deal, it’s probably fine, but there’s still a lot of guesswork.
I’ve been thinking about what could make this smoother: clear rate cards from creators (do you guys share these?), standardized contract templates, maybe a simple brief form that makes it easy for creators to understand what you actually need. But I’m also trying not to be too rigid—some of the best partnerships have come from back-and-forths where both sides adapted.
I’m curious: how organized is your process? Do you have templates? Do your creators have published rates? How long does a typical deal usually take from first contact to signature? Any tools or approaches that actually save time without killing the personal relationship part of it?
We’ve systematized this at the agency, and it made a huge difference. Here’s the framework: rate cards are non-negotiable. Every creator we work with regularly has a public rate card—X amount for an Instagram post, Y for a Reel, Z for Stories, etc. Saves us from 20 emails of back-and-forth.
Second: we have three contract templates—simple ($2-5k), standard ($5-20k), and complex (20k+). Depending on the deal size, we pick the template, fill in blanks, and send within 24 hours. Instead of drafting from scratch each time, we’re down to tweaking existing language.
Third: I assign a single point of contact per creator relationship. One person manages all communication for that creator—briefing, contract, payment, performance tracking. Cuts down on the “who do I ask?” confusion.
From first contact to signed contract: simple deals (2-5k) take 3-5 days. Standard deals (5-20k) take 7-10 days. Complex deals… sometimes 2-3 weeks if there are multiple rounds of negotiation. The key is speed on the brand side. If we’re slow, creators get bored and take other deals.
From a creator side, the faster the better, but I also want to feel like the brand actually gets me. Here’s what makes a process smooth for me: a clear brief that explains what you want, the timeline, and the budget upfront. If a brand messages me and says “we think you’d be great for our product, check it out and let me know if you’re interested,” that’s vague and wastes time.
If they say “we want three Instagram Reels over three weeks, $3k total, brief is attached, deliverables due by [date],” I can immediately say yes or no. Then we can talk contract.
I usually keep it simple with contracts. I have my own template that covers the important stuff—deliverables, deadlines, payment terms, exclusivity clause, usage rights. A lot of brands try to add 20 pages of legal language that doesn’t matter. If we both trust the other person, the contract can be one page.
One thing that slows things down: brands that don’t have a single point of contact. If I’m talking to three different people on the brand side, everything goes slower. Decisions take forever. Assign one person, please.
Process efficiency matters at scale. Here’s the high-level approach: I segment creators into tiers based on contract value and complexity. Tier 1 (under $3k) gets a one-page agreement form. Tier 2 ($3-15k) uses a standard template with customization. Tier 3 (15k+) involves legal review.
For rate negotiation, I don’t haggle below 10% of the asking price. If a creator quotes $5k and I think it’s $4.5k, I’ll negotiate once. If we don’t agree, I move to the next creator. The time cost of going back-and-forth is higher than paying slightly above market rate.
Biggest process improvement: clear, written briefs. Every partnership starts with a two-page brief that covers project goals, audience target, deliverable specs, timeline, budget, and success metrics. Creators read it once, no ambiguity, faster turnaround on their proposals.
One more thing: I use a simple spreadsheet to track deal pipeline. Contact date, creator response date, brief sent date, proposed vs. agreed rate, contract date, delivery date. You can see where bottlenecks are. Usually it’s contract review or indecision on the brand side, not the creator’s fault.

П.С. Мне нравится, когда есть личная рекомендация. Если я говорю инфлюенсеру: «Вот эта компания сказала про вас хорошо, я их знаю, это нормальные люди»—сделка движется в два раза быстрее.
В нашем стартапе у нас было много фрикций в процессе, и мы переделали его. Главное, что помогло, это то, что я назвал бы «decision velocity.» Если решение о yes/no принимается медленно, процесс гнется. У нас теперь одна ответственная за все creator-партнерства, и у нее есть полномочия одобрять сделки до определённой суммы без всяких аппруваций.
Это изменило всё. Инфлюенсеры видят, что могут за день получить ответ, и они быстро хотят начать работать. А когда ответ приходит через неделю, они уже по другому каналу договор подписали.
Насчет контрактов: я согласен с тем, что все эти 20-страничные юридические бумаги не помогают. Люди просто не читают. Главное—конкретные цифры, сроки и кто что делает. Всё остальное усложняет процесс без пользы.
